We are looking for a "Executive & Team Assistant" for our customer who has established itself as a major player in“energy.”


QUALIFICATIONS

·         University degree

·         At least 5 years of experience in a similar position, preferably in working with senior executives as part of a global organization

·         Strong planning, organization, and follow-up skills with customer and results orientation

·         Ability to maintain a high level of integrity and discretion in handling confidential information

·         Ability to resolve complex administrative problems independently and multi-task

·         Attention to details

·         Strong interpersonal skills, with a positive, can-do attitude and resilience

·         Good command of written and spoken Turkish and English, with ability to communicate effectively with a wide range of stakeholders

·         High proficiency in MS Office, along with ERP / software such as SAP, Ariba, Workday and similar corporate applications


JOB DESCRIPTION

·         Act as the main communication point of contact (incoming and outgoing documents, notifications, calls from external parties & customers, etc)

·         Conduct legal entity archive management of paper and electronic files and provide clerical support (PoA administration and annual updates, legal document management, etc)

·         Support country internal communication activities, i.e. formulation and distribution of communications such as personnel announcements and company policies; establishment and maintenance of digital platforms such as shared folders, document house, country intranet / web page, etc.

·         Assist the country headquarter team in purchase order administration and processing of indirect procurement items

·         Support preparation of company presentations

·         Support local Marketing & Communications activities, such as design and production of marketing literature, and coordination with external organizations (agencies, associations, conference & fair organizations, customer events), etc. 

·         Support internal approval processes focused on memberships and donations

·         Support preparation of annual budgets and regularly track spending of administrative and indirect items, as related to her / his area of responsibility

·         Help formulate company process documents and local guidelines, mainly with a focus on HR and indirect procurement

·         Provide support to the HR function as needed, such as in onboarding or offboarding of personnel

·         Assist the management team in scheduling appointments and organizing meetings and writing respective minutes and protocols

·         Assist the management team in making all travel arrangements and reconciling and processing travel and expense reports
